Rental operations software
CollectiveMiles brings booking requests, vehicle availability, handovers, incident workflows, and customer updates into one operator workspace.
What the platform covers
Rental work rarely fails because a team lacks another spreadsheet. It fails when the booking, vehicle condition, customer update, and next action live in different places. CollectiveMiles keeps those decisions together while leaving operator policies and approvals with your team.
Review incoming requests, check the operating context, and confirm or reject them from the operator workspace.
Keep vehicle records, booking activity, maintenance issues, and replacement decisions connected.
Record vehicle-specific handover details, including odometer, fuel, condition notes, and photos where configured.
Open an operational ticket, link the issue to the vehicle, and record why an alternate vehicle was assigned.
Use the platform's configured communication workflows for booking and vehicle updates. Delivery channels depend on your setup.
Use supported exports and local continuity features as part of your own backup and recovery process.
Branded rental websites
An operator website can carry that business's name, fleet, location, contact details, booking path, and policies. It should not inherit CollectiveMiles software copy or another operator's terms.
Before publication, the operator must supply accurate rental eligibility, licence, age, bond, excess, kilometre, fuel, toll, cancellation, breakdown, and regional travel policies. CollectiveMiles does not invent or standardise those commercial terms.
Your site goes live only after your business identity, contact details, fleet information, and rental policies have been reviewed with you.
Questions, answered
Learn how bookings, vehicle records, handovers, pricing, and setup work for rental teams in Australia and New Zealand.
Car rental management software keeps the booking, customer, vehicle, pickup, return, condition notes, and follow-up work together. CollectiveMiles gives rental teams one workspace for that day-to-day operating record.
CollectiveMiles is designed for Australian and New Zealand vehicle rental and fleet operators that want bookings, vehicle records, handovers, and issues in one workspace. Fleet size, depot structure, staff access, and migration needs are reviewed during onboarding.
A customer request enters the booking queue for an operator to review. The operator checks the dates, vehicle, and any conflicting allocation before accepting or rejecting it. A request only becomes a confirmed rental after approval.
A configured operator website can show your branding, fleet, contact details, and booking form. Customer requests then enter your booking workflow. Your business supplies the rental policies and customer-facing information used before publication.
The workspace manages multiple vehicle records and location information used in rental activity. If you operate more than one depot, discuss the required locations and staff permissions during onboarding.
The pricing calculator supports AUD with 10% Australian GST and NZD with 15% New Zealand GST. Confirm any different tax or invoice requirements before the workspace is activated.
Vehicle data can be prepared with the CSV import format shown in the product. For other records, provide a sample export and field list during onboarding so the team can assess what can be mapped and what needs cleaning or manual review.
A handover can record vehicle details such as location, odometer, fuel, condition notes, and inspection status. Damage, maintenance, or another issue can be added as a ticket with a priority, notes, status, and follow-up history. Your business decides which checks and evidence its rental policy requires.
Setup covers your fleet, users, booking process, regional settings, branding, and agreed migration work. The team reviews these details with you and confirms what will be ready before the trial or live workspace begins.
Plans are grouped by fleet size and can be viewed with monthly or annual billing in AUD or NZD. Use the pricing calculator for the displayed tiers; migration, integrations, and custom implementation are scoped separately when needed.
The product shows CSV exports for fleet and booking records and a JSON system download. Downloaded files must be stored securely by your business because they sit outside the workspace after export.
Operators can contact CollectiveMiles by email and request a guided walkthrough. Any priority response time, dedicated account contact, or implementation service is set out in the selected plan or written order.
Regional note: the standard GST rate is 10% in Australia and 15% in New Zealand. Tax treatment depends on the supply and business circumstances; confirm your settings with an adviser and the official Australian Taxation Office or New Zealand Inland Revenue. Sources reviewed 18 October 2026.
